How to Migrate QuickBooks Online to 
QuickBooks Desktop
To export QuickBooks Online to Desktop, consider using the migration tool.
Step 1: Download QuickBooks Desktop
• Install QuickBooks Desktop and open the program.
• Choose the file, then ‘Close Company.’
Step 2: Access QB Online and Download 
the Migration Tool
• Provide the account credentials and log into the QBO account.
• Visit the export URL: https://app.qbo.intuit.com/app/exportqbodatatoqbdt
• Press ‘Enter.’
• An export Overview will be shown. If you want to print it, you can print it.
• After that, click on ‘Get Started.’
• Download the migration tool by clicking on ‘Download tool’ and move to the 
installation process by clicking on ‘Next.’
• Verify the license agreements and select ‘Next.’
• Select ‘Complete’ as the setup Type, then click on ‘Next.’
• Choose ‘Install’ and select ‘Finish.’
Step 3: Prepare for Export
• Return to QBO and press ‘Continue’ if the ‘Prepare to Export’ window 
appears.
• Select data to export and click ‘Continue.’
• Hit ‘Learn about the limitations of converting data for the QuickBooks 
Desktop.’
• Click ‘Continue.’
• Enter the name and email address to get the confirmation email, click 
‘Continue’ and then press ‘Close.’
• The QBO file will reopen; wait for email confirmation.
• Return to the export screen and click ‘Get Started.’
• On the Prepare to Export page, hit ‘Continue.’
• The ‘Select your Data’ Page will open up. Choose the same option and 
tap ‘Continue.’
• The ‘Exporting from QuickBooks Online’ page opens, and choose 
‘Continue to Download’ for the existing file.
• Select the ‘Download QBXML File’ option, and if QB prompts, choose a 
location to save the file and click ‘Continue.’
• Make sure that you are on the ‘No Company Open’ screen.
• Click ‘File’ for an open company and then click on ‘Close Company.’
Step 4: Run QB Desktop Migration Tool
• Open QuickBooks at the No Company Open window.
• Now, open the Migration Tool to import the QBXML file by locating the 
file and clicking on ‘Import.’
• Choose a name and location for the new file and uncover QuickBooks-
Application Certificate.
• Choose read/modify rights for data access, click ‘Continue,’ and then 
select ‘Done.’
• Lastly, once again, hit ‘Done’ after successful importing.
• It will take some time to finish the process, but if the status bar stops 
while migrating, follow the below steps:
• Double-click the QuickBooks Desktop icon in the Windows Taskbar.
• Accept Application Certificate prompts to complete migration from 
QuickBooks Online to Desktop by clicking on ‘Yes.’
• Click ‘Continue.’
• Select ‘Done.’
 Step 5: Verify the Accurate Exporting of the Data
Check that all data is accurately exported by comparing reports in QBO and 
QBDT.
If the data does not match, implement the below steps.
• Open QB Desktop, go to ‘File,’ then click ‘Close Company.’
• Try to convert the data again.
• Now, check and confirm the conversion process again.
