s Desktop?
• Access the Payroll Tax Center
• Choose Employees > Payroll Center.
• Click the File Forms tab.
• Click View/Print Forms & W-2s.
• Enter your payroll PIN.
• Select the W-2 tab.
• Select individual employee names from the list, or 
select the checkbox next to the title Employee to 
select all employees.
• Click the Open/Save Selected button.
• Select the reason for printing the W-2s.
• An Adobe Reader file will open containing your W-2 
selections.
• Choose File > Print to print your W-2s.
How to Print w2
 in QuickBooks 
Online?
• Click the Taxes tab, then choose Payroll Tax.
• In the Forms section, select the Annual Forms 
link.
• From the drop-down menu, choose either All 
Employees or a specific name of the 
employee.
• Select the W-2, Copies B, C & 2 link. This will 
take you to the Printable Employee Copies: 
Form W-2 page.
• Choose the appropriate period.
• Click View to launch Adobe Acrobat Reader in 
a new window.
• Click the Print icon on the Reader toolbar, then 
select Print.
